This Directorate organizes and manages IIT’s media relations and online/offline communication. The team supports IIT management in establishing strategic connections with opinion leaders and policy makers.

The team provides a daily press review service for IIT staff. It disseminates research to the general public by promoting TV, radio, and newspaper interviews and by participating in initiatives and events. They also manages IIT’s social media channels (Facebook, Instagram, Twitter, LinkedIn) and the online magazine IIT Open Talk, which publishes articles and multimedia materials about IIT research.

Financial Control

This Directorate manages all processes to build and maintain IIT’s budget in real time. It also helps the Scientific Director, PIs, and other budget owners in preparing the yearly budget and the mid-term update (budget review) and in monitoring the expenditure evolution over the year. The team continually checks that the budget allocation and requests for modifications comply with internal policies and procedures and national laws. The team also maintains the management’s financial reporting and helps define the size of administrative offices.

General Administration

This Directorate oversees the accounting and travel procedures, the management of payments, IIT’s fixed assets (CAPEX), and administrative procedures in general. The team also manages the issuing of credit cards.

Health and Safety

This Directorate primarily helps the Employer (i.e. the Scientific Director) to identify risks/hazards, to assess risks, and to identify and verify the effectiveness and efficiency of occupational health and safety measures, in compliance with the law and based on the specific knowledge of the organization.

Once the risks have been identified and assessed, the team develops preventive and protective measures and control systems. It develops safety procedures. It also implements new programs to train workers in information and health surveillance, prevention and protection measures, and the adoption of adequate personal protection equipment.

Human Capital

The Human Capital & Organization Directorate (HCOD) manages the recruitment, hiring, development, and administration procedures for IIT’s personnel and affiliated external collaborators. This includes selection procedures, contract preparation, payroll, pension, and healthcare support. HCOD also manages the Alumni project, assists with visa applications, and helps with other paperwork. HCOD also prepares training courses for employees (skill development). Finally, HCOD helps in budgeting labor costs. HCOD develops different organizational approaches. For example, HR Partners are one initiative to support People and Talent Development. HR Partners are the contact people at HCOD, working closely with PIs and IIT people to understand their needs and help them with the above mentioned issues (selection procedures, contract preparation, ... ). Each Research Line and Administrative Directorate is supported by one HR Partner. In addition, HCOD manages the bureaucratic and administrative procedures for External Staff collaborators from other Institutions, and supports Foreign Staff upon their arrival and during their stay in Italy. Within HCOD, the Diversity, Inclusion, and Social Impact Office coordinates the implementation of the Gender Equality Plan.

Information and Communication Technology

This Directorate provides all service management in relation to information technology infrastructure.
The team offers secure technological services that enable:

agile and rapid innovation (in the IT domain);
easily accessible internal and external digital-collaboration processes;
easy access to information and knowledge;
effective and efficient management and administrative processes.

Internal Control and Risk Management Directorate

The Internal Audit Directorate conducts independent objective assurance and consultancy to improve IIT’s effectiveness and efficiency.

To guarantee its independence, the Internal Audit staff report to IIT’s President.

The Directorate evaluates:

• the effectiveness of the controls to safeguard the reliability and integrity of information provided to IIT’s management and to external entities;
• the level of compliance of IIT’s activities with procedures, policies, laws, and regulations;
• the actions implemented to safeguard IIT’s assets and verify their current composition;
• the effectiveness, efficiency, and cost-effectiveness of how IIT resources are used;
• the ways in which risks are identified and managed by management.

The Compliance Directorate supports and propagates a shared culture based on integrity and compliance. The directorate helps identify compliance obligations and their implications in order to develop, implement, maintain, and improve IIT activities.

Legal Affairs

This Directorate conducts legal activities related to litigations and pre-litigations, contracts, clinical investigation regulations and authorizations for non-CE marked medical devices, privacy (GDPR), support in preparing applications for ethics committee approval for experiments with human subjects, intellectual property agreements (legal aspects), and so on. The Directorate is responsible for drafting all contract models used by IIT. The Directorate also provides consultancy to PIs as they prepare regulatory documentation for studies involving human subjects.

Within this Directorate, the GDPR Team designs, implements, and monitors the privacy organizational model, supported by the Data Protection Officer Team. In particular, the GDPR Team coordinates all procedures deriving from privacy laws, including defining the related documents. Within this Directorate, the Intellectual Property and Contracts Office provides consultancy on themes pertaining to the ownership, management, use and exploitation of intellectual property. It also draws up and negotiates agreements with third parties involving technology transfer initiatives, such as commercial Joint Labs, commercial contracts, license agreements, nondisclosure agreements and material transfer agreements, and provides legal support for the launch of IIT startups.

This Directorate deals with all procedures in relation to the purchase of any good, service, equipment, including tender procedures, purchase agreements, and the reception and storage of goods.

Research Organization

This Directorate helps researchers by supporting the negotiation of institutional research and doctoral agreements, supporting the scientific evaluation process, organizing IIT’s publication repository, and producing scientific digital material. The team also assists researchers in grant submission, oversees tenure track procedures, and manages outreach, scientific dissemination, and scientific web content.

Technical Services

This Directorate organizes IIT’s physical infrastructure, i.e. the buildings, including the design and construction of the laboratories.

The team manages services related to mobility, environmental issues, shuttle bus services, parking, etc. They also collaborate with the PIs on the design of the laboratories and their infrastructure.

Technology Transfer

This Directorate brings research knowledge to the market. The team protects new technologies via patents and valorizes IIT’s intellectual property. They support and manage the disclosures of inventions and IIT’s patenting activity. They also help to negotiate agreements with industrial partners concerning industrial research and development, Joint Labs, and the licensing of IIT technology.

Finally, the Technology Transfer Directorate supports the creation of startups that combine cuttingedge knowledge with the entrepreneurial spirit of IIT researchers. This includes dissemination and training activities to support entrepreneurship among IIT researchers.
