The Foundation Administrative Office consists of functions regarding all of the Institute's administrative needs, and assures a smooth management, considering the dimensions of the Institute, of all the management issues involved with the scientific community.
Specifically:
The Administration Management coordinates the development of all the Foundation's accounting, legal and fiscal obligations, both for the main and the branch offices; it is composed of a General Accounting Office and Treasury (accounting and fiscal management; operative treasury); Purchase Office (coordination of purchase planning; purchase operations and warehouse management); Network Coordination Office (coordination of administrative external network offices and related activities).
The Staff Management Office coordinates all activities related to human resources; it is composed of the Staff Administration Centre (contract, pay and tax management, employee and collaborator administrative duties; relations with insurance and welfare institutes; support for staff selection) and Evaluation Centre and MBO (defines processes and methods to apply objectives to research and administrative staff; coordination of the annual staff evaluation).
The Legal Office is in charge of the Foundation's legal affairs; it analyses all agreements and contracts and provides legal assistance in disputes.
The Management Control Office coordinates the administration of the Foundation's management information assets and compliance to processes, organisation structure, management information systems; it also coordinates operative and management planning and reporting. It also includes the Organisation and Procedures Centre (management and formalisation of the Foundation's organisation regarding documentation and updating of processes; interface between management information systems and units, maintenance of general repository of the Foundation's projects, support to the monitoring of the implementation of administrative projects); Management Information Systems Centre (planning, management, and maintenance of applicative management systems); Management Planning and Control Office (budget drafting; organisation, monitoring and analysis of inspection reports).
The Administrative Secretary Centre provides secretarial support to the Administration offices and coordinates travel and travel-related expenses.
The Scientific Secretary Office manages relations with other scientific institutions, as well as agreements and conventions, and coordinates the relations with scientific secretariats of other centres in the network. Within this Office, the Web Master implements the Foundation's logo, internally and externally, and is in charge of the Institute's website and Intranet.
The Technical Office coordinates construction and renovation projects, and monitors their progress; oversees job safety, general services and building maintenance.
The Network and Telecommunications Centre is in charge of the Foundation's physical data transmission network and connectivity, and provides support to the research units.
The Projects Office takes care of the administrative budgeting and management of projects funded by European Union and other sources of financing.
